Terms and Conditions

At the Excel-Expert.com we are proud of our flexible approach to the way we work with our clients. Please note additional terms and conditions can be negotiated with each piece of work we undertake.

Quotes

Where possible, quotes are supplied with a mock up of the final product. This allows you to see and alter the final product before it goes in to development.

Any changes to the specification during the development cycle are chargeable. A full quotation and specification would be provided separately.

Each quote may carry its own payment terms that over ride the payment terms laid out in these Terms and Conditions.

Beta versions

During the development of your spreadsheet, we will provide you with “beta” versions of the final applications for you to test. These beta versions serve two purposes.

(1) It allows you to monitor the on-going development of your application

(2) Both parties get to test that the application performs as expected.

These beta versions are incomplete and should never be treated as the final product. They should never be used with real life live data that you can’t afford to lose.

All beta versions are time locked and will stop loading after a set period. This is to prevent beta versions getting out in to the work place, complete with unfixed bugs.

It is the client’s responsibility to check the beta copies for errors and/or problems. When the client is satisfied that the programming works as planned, written/emailed confirmation is required from the client.

Excel-Expert Ltd is not responsible for any errors or the expense resulting directly or indirectly from any errors missed during this testing once, this confirmation has been received.

Customer delays

We reserve the right to cancel a project, keep any deposits paid and to charge for work completed to date, if a client causes a delay of 28 days or more during the project. A project maybe cancelled in this way if they fail to respond to any of our communications (email, phone or letter) for 28 days or more, without prior arrangement.

Once a project has been cancelled, the client will receive the development files to date, allowing them to change developer if needed.

Bug fixing

All bug fixing is free for the first year if caused by our programming. Excel-Expert.com does not accept any responsibility for costs caused directly or indirectly incurred by bugs missed in the beta testing phase.

Free 60 days tweaking

After we complete your project, we provide tweaks and adjustments, free of charge for 60 days – this is to ensure that our final product does exactly what you expect it to do. The only limitation is that the tweaks and adjustments are to remain within the specification of the original project.

Typical tweaks including rearranging screen layouts, altering screen layouts to allow for printing. Tweaking does not include anything that changes the specification of the original project or results in any additional programming.

After 60 the day period tweaking is chargeable.

Project delivery

When the project is completed and payment has been received in full, the project is delivered to the client.

All projects are delivered complete with all development files. This means that the project can be further developed by the Excel-Expert.com, you or any other third party company.

Once the project is completed and any further changes to the specification or any additional work on the project is chargeable.

Quotations

Dependent on the nature of the project or the needs of the client, we will provide a fixed price quotation, an estimate based on hourly rates or a phased estimate for the work.

Quotes are valid for 28 days only unless indicated otherwise.

Fixed price quotation

This will be based on the time estimated to carry out the work and will not vary should the project over run. The quotation will only cover the work specified prior to the project starting and any additional work will be charged for separately.

Hourly rate estimate

For projects that are harder to provide an initial specification for, we will provide an estimate based on the number of hours we would predict the project would take based on the details provided up until that point.

Phased estimate quotation

For larger and more complicated projects, it may not be possible to accurately estimate the amount of time needed to complete the project. In these cases, we will provide just an estimate on the number of hours needed to complete the work.

To ensure the project does not over run we will break the project down in to phases. Each phase can then be reviewed with the client as it reaches completion. If needed, subsequent phases will be reassessed and maybe re-estimated.

Quotation variations

Sometimes it becomes necessary to change the specification of a project part way through the project. If this results in extra work, this will be quoted for separately, requiring a separate order.

On site work (UK)

If work is required on the clients site, travel, accommodation and sustenance costs will be paid by the client each week, within 7 days of the end of the week.

On site work (abroad)

If work is required on the clients site abroad travel, accommodation and sustenance costs will be payable by the client in advance.

Payment terms

A 50% non-returnable deposit is required for all orders with the balance due on completion. Excel-Expert Ltd reserve the right to withhold or time lock files until full payment has been received. When the full payment has been received, the client will be issued with all development files in a fully unlocked and restricted format.

If any agreed payment date is missed, Excel-Expert Ltd reserves the right to charge 100% payment up front on all future orders.

If payment terms are required, your invoice will be increased by 25% in value. The additional 25% will refunded only if the full payment terms are adhered to in full.

We will charge the full late payment fees available to us if a payment is late and we reserve the right to pass any outstanding debts to Thornbury Collection Services without any further prior warning.

Preferred payment terms

Our preferred payment method is by BACS, electronic transfer or PayPal. Payments by cheque can be accepted, but this may delay the releasing of project files while the payment clears. We do not accept payments via Western Union, ever!

Please note if you are paying from a non UK GBP bank account you are responsible for paying all foreign exchange fees and commissions. We need to receive the full invoiced amount in full before we can release your files.
